Ocular Edge ("we", "us", or "our") operates the Ocular Edge platform at ocularedge.net. This Privacy Policy explains how we collect, use, and protect information about you when you use our service. By creating an account or using Ocular Edge, you agree to this policy.
01Information We Collect
We collect the following types of information:
- Account information — your name, clinic name, and email address when you sign up.
- Usage data — pages visited, features used, and actions taken within the dashboard.
- Content you create — slide deck prompts and generated content, social post topics, and patient encounter descriptions entered into the Billing & Coding Companion.
- Billing data — payment method details processed securely by Stripe. We do not store card numbers.
- Device and technical data — browser type, operating system, and IP address for security and performance monitoring.
- Cookies — session cookies to keep you logged in and analytics cookies to understand how the product is used.
02How We Use Your Information
We use collected information to:
- Provide, maintain, and improve the Ocular Edge platform.
- Process subscription payments through Stripe.
- Send transactional emails (account creation, password reset, billing receipts).
- Monitor for abuse, fraud, and security threats.
- Improve AI features using aggregated, de-identified interaction patterns.
- Respond to support requests and communicate product updates.
We do not sell your personal information to third parties.
03Important Notice Regarding Clinical Data
The Billing & Coding Companion allows you to type plain-language descriptions of patient encounters to receive ICD-10, CPT, and modifier suggestions. You should not enter individually identifiable patient information (patient names, dates of birth, MRNs, or other protected health information) into this field. The feature is designed to work with de-identified clinical descriptions only.
Ocular Edge is not a HIPAA Business Associate and does not sign Business Associate Agreements. The platform is a productivity and administrative tool — not an EHR or billing clearinghouse. Always consult a certified medical coder for final billing decisions.
04Third-Party Services
We use the following trusted third-party providers:
- Firebase (Google) — authentication, database storage, and web hosting.
- Stripe — payment processing and subscription management.
- Anthropic (Claude) — powers the AI Billing & Coding Companion and Social Content Generator. Encounter descriptions and content prompts are sent to Anthropic's API for processing.
- Google Analytics — anonymous usage analytics.
Each provider has their own privacy policy governing their use of data. We encourage you to review them for services that handle your data.
05Data Retention
We retain your account data for as long as your account is active. If you cancel or your account is deleted, we will remove your personal data within 30 days, except where retention is required by law (e.g. billing records, which are retained for 7 years).
06Data Security
All data is transmitted over HTTPS. Firebase enforces per-user Firestore security rules so your clinic data is only accessible to your authenticated account. Passwords are never stored in plain text. Despite these measures, no system is 100% secure — please use a strong, unique password for your Ocular Edge account.
07Your Rights
You have the right to:
- Access — request a copy of the personal data we hold about you.
- Correction — request that inaccurate data be corrected.
- Deletion — request deletion of your account and associated data.
- Portability — request your data in a portable format.
- Opt-out — unsubscribe from non-transactional emails at any time using the link in any email.

08Children
Ocular Edge is a professional B2B platform intended for use by licensed optometry and ophthalmology practices. We do not knowingly collect personal information from anyone under 18.
09Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a prominent notice in the dashboard. The effective date at the top of this page will always reflect the most recent version.
